Privacy Policy

CaliberSeg ("we," "us," "our") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, store, share, and protect your personal information when you use our website, platform, and services (collectively, "Services").

1. Information We Collect

1.1 Information You Provide

When you create an account and order a study, we collect: your name and email address; property details including address, purchase price, construction type, and renovation history; uploaded documents such as closing statements, tax assessments, renovation receipts, and property photographs; payment information (processed and stored by Stripe — we do not store full credit card numbers); and any communications you send to us.

1.2 Information Collected Automatically

When you visit our website, we automatically collect: device information (browser type, operating system, screen resolution); IP address and approximate geographic location; pages visited, time spent, and navigation patterns; referring website or source; and cookies and similar tracking technologies (see Section 6).

1.3 Information from Third Parties

If you sign in with Google OAuth, we receive your name, email address, and profile picture from Google. We do not access your Google Drive, calendar, contacts, or any other Google services beyond basic profile information for authentication.

2. How We Use Your Information

We use your information to: produce and deliver your cost segregation study; process payments and manage your account; communicate about your order (confirmations, status updates, delivery); verify report authenticity via our public verification portal; improve our platform, technology, and engineering processes; send transactional emails related to your account and studies; comply with legal obligations; and detect and prevent fraud.

We do not use your property information, documents, or study results for any purpose other than producing and delivering your specific study, except in aggregated, anonymized form for improving our technology.

3. How We Share Your Information

We share your information only with the following parties and only as necessary:

3.1 Engineers

Licensed engineers who review and certify your study receive access to your property information, documents, and photos necessary to complete their review. Engineers are bound by confidentiality agreements.

3.2 Service Providers

We use third-party services to operate our platform: Stripe for payment processing; Amazon Web Services (AWS) for document storage and hosting; Resend for transactional email delivery; and Vercel for website hosting. These providers access only the data necessary to perform their functions and are contractually bound to protect your information.

3.3 Verification Portal

When a verification code is used on our public verification portal, we display limited report information: property address, property type, study completion date, total reclassified amount, estimated savings, and certifying engineer details. This feature exists to allow CPAs and IRS examiners to verify report authenticity.

3.4 Legal Requirements

We may disclose your information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

We do not sell your personal information to third parties. We do not share your information with advertisers or marketing partners.

4. Data Storage and Security

Your data is stored on servers located in the United States. We implement industry-standard security measures including: encryption in transit (TLS 1.2+) for all data transmitted to and from our platform; encryption at rest for stored documents and personal information; access controls limiting employee and contractor access to your data on a need-to-know basis; regular security reviews of our infrastructure; and secure document storage on AWS S3 with presigned URL access controls.

While we take reasonable precautions, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data.

5. Data Retention

We retain your information as follows: account information is retained for as long as your account is active, plus 30 days after deletion request; study reports and associated documents are retained for seven (7) years from delivery date, as cost segregation studies may be relevant for IRS audit periods; payment records are retained as required by applicable tax and financial regulations; and usage data and analytics are retained in anonymized form indefinitely.

You may request deletion of your account and personal information at any time (see Section 7). Note that we may retain certain records as required by law or legitimate business purposes.

6. Cookies and Tracking

We use cookies and similar technologies for: authentication (keeping you logged in); preferences (remembering your settings); analytics (understanding how visitors use our site); and performance (ensuring the site loads quickly and correctly).

We use analytics tools that may set their own cookies. You can control cookies through your browser settings. Disabling cookies may affect the functionality of our platform.

7. Your Rights

Depending on your location, you may have the right to: access the personal information we hold about you; correct inaccurate personal information; delete your personal information (subject to legal retention requirements); export your data in a portable format; opt out of marketing communications; and object to certain types of processing.

8. California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA): the right to know what personal information we collect and how we use it; the right to delete your personal information; the right to opt out of the sale of personal information (we do not sell personal information); and the right to non-discrimination for exercising your privacy rights.

9. Children's Privacy

Our Services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will promptly delete it.

10. International Transfers

Our Services are operated in the United States. If you access the Services from outside the U.S., your information will be transferred to and processed in the United States. By using the Services, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice on our website or sending you an email. Your continued use of the Services after changes are posted constitutes acceptance of the updated policy.
